Transcripts - Bulk Upload
To upload a student's transcript to their profile:
- Go to User>Student>Academics>View Transfer Mapping:
- From the Transfer Mapping page, click on Download Transcript Template. This will provide you with an example template to enter the student's data. The data must be entered in these columns in order to upload correctly to the student's transcript.
- In the transcript template, you'll need to fill out all fields and match them to the information you have in your school's settings. In the screenshot examples below, you'll see some demo information on how to enter the transcript.
- The student's first and last name must be identical to how it is entered in MySchoolWorx.
- Grade Level: This field should match what is in Setup>Grade Level.
- School Year: This should be entered as 2023-2024, 2024-2025, etc.
- Grading Scale: This field should match the names of the grade scales in Setup>Academics>Grade Scale Template
- Class Designation: This is not a required field, so if it is not a college prep or honors class, you can leave those fields blank.
- Subject: This field should match the subject areas found in your Setup>Subject Area.
- Accept: If they are accepted credits, put a Y here. If not accepted, put an N and then a reason for the unaccepted status. If it's accepted, leave the "Unaccepted reason" field blank.
- Active field: Enter Y here
- For the grades and credits fields, an example is given in the 3rd screenshot. It is broken into Grade Period 1 (Semester1) and Grade Period 2 (Semester 2).
IMPORTANT NOTE: A percentage grade must be entered in order for the credits to transfer successfully.
- After filling out the transcript template, upload the document in the Transcript import field.
- Once it's submitted, you will see the credit in the Attempted Credits section on the Transfer Mapping page. Any edits after uploading can be done in this section:
